Responsibilities

  • Develop and maintain procurement plans in collaboration with the CEO and stakeholders to meet organizational needs.
  • Identify, evaluate, and negotiate with suppliers to ensure best value, quality, and timely delivery of goods and services.
  • Build and maintain strong vendor relationships and ensure proper contract management.
  • Prepare and issue purchase orders, ensuring accurate specifications, budget allocation, and compliance with procurement policies.
  • Monitor supplier performance and conduct regular evaluations to ensure the quality of products/services, cost efficiency, and delivery timelines.
  • Maintain accurate records of stock levels, reordering items when necessary to prevent shortages.
  • Ensure the proper storage and security of goods and equipment.
  • Ensure all procurement activities comply with the organization's procurement policies, legal requirements, and industry standards.
  • Maintain procurement documentation, including purchase records, contracts, and invoices, and prepare regular procurement reports.
  • Oversee day-to-day office administration, including office supplies management, facility maintenance, and ensuring a clean and organized work environment.
  • Maintain proper filing systems for both electronic and paper documents, ensuring confidentiality and easy retrieval of information.
  • Coordinate logistics for meetings, events, and staff travel arrangements, including booking venues, transportation, and accommodation.
  • Assist the HR and finance with administrative tasks, such as processing invoices, preparing reports, and supporting recruitment or payroll processes.
  • Handle incoming and outgoing correspondence, including emails, letters, and phone calls, ensuring professional communication with external and internal stakeholders.
  • Provide administrative support as required by the management to enhance operational efficiency.

Education

  • At-least Bachelor’s degree in Business Administration, Procurement, Supply Chain Management, or a related field.
